UAW-Ford and the Creation of the Check Log and Audit Workflow (CLAW) System Development

Overview:

UAW-Ford Joint Trusts, a collaborative initiative between the United Auto Workers (UAW) and Ford Motor Company, has a long-standing commitment to improving labor-management relations and enhancing the lives of UAW-represented Ford employees. To further this mission, UAW-Ford partnered with Carsley Solutions to develop the CLAW (Check Log and Audit Workflow) system, a robust solution designed to streamline their financial and administrative processes.

Challenge:

UAW-Ford was using a legacy DOS-based system called DataEase, which had become fragile and difficult to maintain. The system was essential for tracking accounts payable, managing vendor records, and handling funding requests. However, it was not compatible with modern Windows environments and lacked the functionality needed to support UAW-Ford's evolving needs.

Carsley Solutions proposed the development of the CLAW system to replace the outdated DataEase application. The new system was designed to encapsulate the business rules and requirements of the legacy system while introducing modern features and improved functionality. Key components of the solution included:

  • Software Application: A Windows-based application that replaced the DOS DataEase software, incorporating the requirements identified during meetings with UAW-Ford representatives.
  • Database: Data extraction from the DataEase database, which held approximately 30 years of data, and import into a new SQL Server database.
  • Integration: The new system was designed to integrate with SharePoint for signoff workflows and to support future integration with other systems.

 The project was executed in several phases, including:

  1. Define Phase: Gathering and defining requirements, capturing the usage of the DataEase system, and understanding the specific needs of UAW-Ford.
  2. Development Phase: Building the software application using a robust programming language compatible with current and future Windows operating systems.
  3. Testing Phase: Conducting unit testing, integration/system testing, and beta testing to ensure the system met all functional requirements and integrated seamlessly with other systems.

The CLAW system successfully replaced the legacy DataEase application, providing UAW-Ford with a modern, efficient, and reliable solution for managing their financial and administrative processes. The new system enabled UAW-Ford to:

  • Improve data accuracy and integrity by migrating historical data to a modern database.
  • Integration with the back end ERP system at Ford and UAW-Ford.
  • Enhance user experience with a more intuitive and functional interface.
  • Increase efficiency by automating workflows and integrating with other systems.
